Krogius Implements Case Management Solution in European Offices Based on M-Files Easy Document Management System

Motive Systems, the developer of M-Files easy document management software and the cloud-based document management service M-Files Cloud Vault, announced that Krogius, a Finland-based provider of claims-related services to insurers and other risk carriers, is utilizing the M-Files document management system as the platform for its recently re-launched case management system, resulting in significant improvements in its reporting data collection process.

Krogius provides survey and loss adjusting services, third-party administrative services and claims management services to their clients in nine European countries. The company’s services range from marine and cargo services, including transport liability claims and loss investigation, to non-marine services, such as automobile and business interruption claims. In order to provide global access to more accurate and up-to-date case data, Krogius revamped their case management system and chose the    M-Files easy document management solution as the foundation.

“It was challenging for us to exchange information between our geographically distributed offices. With M-Files, however, I can instantly access the latest versions of ongoing cases from Moscow or St. Petersburg, including all related documents and email correspondence,” said Mikko Kuokkanen, Team Leader of the Krogius First Point of Rest Survey Team. “The data is securely stored on our servers in Helsinki and replicated to our offices in nine countries, and employees only have access to the data relevant to their work.”

“There wasn’t an ‘out-of-the-box’ case management system that met Krogius’ broad requirements, and they ultimately realized that M-Files was the answer,” said Antti Nivala, CEO of Motive Systems. “The fully customizable metadata structure and multi-language support provided by M-Files made it possible for Krogius to customize their system to match their needs better than any alternative case management system on the market.”

M-Files Enables Quick and Accurate Reporting to Krogius Customers
The ability to promptly gather, analyze and report claims is a critical requirement for Krogius’ large global customers, such as automobile manufacturers and shipping companies. For example, all damages to new vehicles recorded in the first point of rest survey must be reported within strict deadlines after unloading a ship. After implementing M-Files, Krogius is now able to deliver such critical reports in only two days. Prior to using M-Files, this information was gathered from email messages and documents, and it took nearly five days to generate the same report.

M-Files is a powerful document management system that enables companies and organizations of all sizes and industries to make dramatic gains in efficiency and productivity by improving the way they organize, manage and track business documents and processes -- all without requiring employees to change the way they work. M-Files eliminates the need for chaotic Windows folders by organizing documents using simple tags and keywords. With M-Files, users store documents in a centralized vault, the same as they would on any other hard drive on the system or network, but rather than searching for the right folder, users simply save documents to the vault and tag. M-Files works like Windows Explorer, so the vault is accessed like My Documents, it's just faster and more secure. Finding files is as simple as typing in a tag or performing a full-text search right from the Open or Save dialog box of any Windows application. A hosted version of M-Files is also available called M-Files Cloud Vault that eliminates the need to purchase and configure a server and provides all the benefits of M-Files for a low monthly fee.
